Training Agreement

Responsibilities of the Student

The student agrees to:

a) Attend scheduled classes punctually.

b) Complete assigned coursework, assessments, and learning activities.

c) Maintain respectful conduct towards ECC staff, teachers, and fellow students.

d) Comply with all Center policies, procedures, and academic requirements.

e) Maintain current contact information and promptly notify ECC of any changes.

f) Regularly check emails, messages, and official communication channels used by ECC for important updates.


Absence and Missed Classes

  • Classes missed by the Student shall be considered delivered and attended unless cancelled in accordance with ECC's attendance and cancellation policy.

  • No refund, credit, replacement class, extension, or compensation shall be granted for missed classes.

  • Makeup classes are not guaranteed and shall be provided solely at the discretion of ECC.

CLASS SCHEDULING AND CHANGES

ECC reserves the right to:

  • Change class schedules

  • Change teachers or instructors

  • Change classroom locations

  • Deliver classes online where necessary

  • Merge, divide, or reorganize group classes

  • Modify curriculum delivery methods

  • Adjust timetables and academic calendars

 

Such changes shall not constitute grounds for cancellation, refund, compensation, or fee reduction. However, where a Student has specifically enrolled and paid for private one-to-one classes, ECC shall make reasonable efforts to maintain the agreed private class arrangement. If, due to circumstances beyond ECC's reasonable control, temporary adjustments to the assigned instructor, schedule, delivery method, or class arrangement become necessary, such adjustments shall not entitle the Student to cancel the course, claim a refund, compensation, or a reduction in fees, provided that the private tuition service continues to be delivered.

EXAMINATIONS

ECC acts solely as a training provider and does not guarantee:

  • Examination registration with external examination boards or providers not administered directly by ECC

  • Examination outcomes, grades, marks, or results

  • Certificates, qualifications, awards, or credentials issued by any examination board or awarding body

  • University admissions, transfers, exemptions, advanced standing, or acceptance decisions

  • Employment opportunities, internships, placements, or career outcomes

  • Visa approvals, immigration decisions, or residency applications

  • Academic progression, promotion, graduation, or successful completion of any educational program

 

All examination registrations remain subject to the rules, regulations, deadlines, terms, and policies of the relevant examination board.

 

Any examination fee paid by the Student is subject solely to the refund, withdrawal, transfer, amendment, rescheduling, cancellation, and no-show policies of the relevant examination board.

 

Where an examination board approves a refund, the refund amount shall be processed in accordance with the examination board's policy and any applicable administrative, banking, payment processing, courier, or third-party charges may be deducted by ECC.

 

Examination fees are non-refundable in cases of absence, non-attendance, missed examinations, late arrival, failure to present the required identification documents, failure to meet examination board requirements, or any other no-show circumstance, unless otherwise approved by the relevant examination board.

 

The Student is solely responsible for complying with all examination board requirements, registration deadlines, identification requirements, examination regulations, and examination schedules.

 

ECC shall not be liable for any losses, forfeited examination fees, missed examinations, academic consequences, or costs arising from the Student's failure to comply with examination board requirements or deadlines.

ACADEMIC YEAR

For annual programs, one Academic Year is defined as the period from September through June of the applicable academic year, unless otherwise specified in writing by ECC.

 

Where the Course Duration stated in this Agreement and/or the Student Registration Form is specified as One Academic Year, the Student shall be entitled to attend classes and receive training services only during that Academic Year. Unused classes, missed sessions, suspended studies, or incomplete coursework shall not extend the Academic Year beyond its stated end date unless expressly approved in writing by ECC.

 

For Students enrolled under an Hourly Package, the Course Duration shall be based solely on the number of hours purchased (e.g., 20, 40, 60, 80, or other approved package hours) as stated in this Agreement and/or the Student Registration Form. The package shall remain valid for twelve (12) months from the date ECC receives the first payment toward the package. Any unused hours remaining after the expiry date shall automatically expire and be forfeited and shall not be refundable, transferable, exchangeable, or carried forward unless otherwise approved in writing by ECC.

 

Summer classes, revision classes, holiday programs, examination sessions, workshops, special events, and other supplementary activities may be offered by ECC at its sole discretion. Participation in such activities shall not extend the duration of the Academic Year, the validity of an Hourly Package, or any Course Expiry Date unless expressly confirmed in writing by ECC.

COURSE EXPIRY

All courses, packages, and training programs are subject to the Course Expiry Date stated in this Agreement and/or the Student Registration Form.

 

Upon reaching the Course Expiry Date, any unused classes, hours, credits, services, benefits, or entitlements shall automatically expire and be forfeited without refund, extension, replacement, transfer, credit, or compensation unless otherwise approved in writing by ECC.

 

The Student acknowledges and agrees that failure to attend scheduled classes, personal circumstances, travel, work commitments, medical reasons, or any other absence shall not extend the Course Expiry Date or entitle the Student to additional time, replacement classes, refunds, or compensation unless expressly approved in writing by ECC.

The Company accepts major credit and debit cards for payment, including Visa, MasterCard, JCB, and Discover.


For in-person transactions, clients can visit our office and present their credit or debit card for payment. Our staff will facilitate the payment process through our secure payment terminal.


Cash payments are accepted in local currency, and other major international currency such as USD, GBP, EUR and CAD at our office during regular business hours.


Cheque payments should be issued in the name of the center as "EDUCATIONAL COACHING CENTER FZLLC." The bearer of the cheque must provide proof of identification, such as an Emirates ID or passport. A penalty of AED 105 will be applied for any cheque that is returned due to insufficient funds or writing mistakes.

INSTALLMENT PAYMENT TERMS

Where ECC approves an installment payment arrangement, the installment plan is provided solely as a payment convenience and does not constitute a monthly, weekly, or pay-as-you-go contract.

 

The Student remains fully liable for the entire Course Fee stated in this Agreement regardless of attendance, withdrawal, suspension, termination, academic performance, personal circumstances, or completion of the course.

 

Missed Installments

Any installment not paid by its due date shall be considered overdue.

 

ECC reserves the right to:

  • Suspend classes and training services

  • Restrict access to online learning platforms and resources

  • Withhold academic reports, references, certificates, transcripts, and other documents

  • Refuse examination registration or related services

  • Cancel future class bookings until outstanding fees are settled

 

Such actions shall not relieve the Student of any payment obligations.

 

Early Withdrawal During Installment Plans

If the Student withdraws while on an installment payment plan, any refund calculation shall be performed in accordance with withdrawal and refund policy section of this Agreement.

 

The Student acknowledges that withdrawal does not automatically cancel any outstanding financial obligations.

 

Where the value of training already delivered exceeds the amount paid, the Student shall remain liable for the outstanding balance.

 

Default on Installments

Failure to pay installments when due shall constitute a breach of this Agreement.

 

ECC reserves the right to pursue recovery of any outstanding fees, administrative charges, legal costs, collection costs, and other expenses incurred in recovering unpaid amounts, to the extent permitted by applicable law.

 

No Waiver

Acceptance of late payments by ECC shall not constitute a waiver of its rights under this Agreement and shall not prevent ECC from enforcing future payment obligations.

WITHDRAWAL AND REFUND POLICY

Withdrawal Request

All withdrawal requests must be submitted in writing using ECC's official Withdrawal Form.

 

Verbal requests, messages, or informal communications shall not constitute notice of withdrawal.

 

Withdrawal Before Classes Commence

A Student may withdraw from the course before attending any class, lesson, training session, assessment, consultation, orientation, or academic activity, subject to the following conditions:

 

a) Withdrawal within 24 hours of registration and payment

The Student shall be entitled to a refund of 100% of the Course Fee paid, less any bank charges or payment processing fees incurred through the payment method used, provided that no class, lesson, assessment, consultation, orientation, course access, examination registration, or other academic service has commenced.

 

b) Withdrawal after 24 hours but within 7 calendar days of registration and payment

The Student shall be entitled to a refund of 50% of the Course Fee paid, provided that no class, lesson, assessment, consultation, orientation, course access, examination registration, or other academic service has commenced.

 

c) Withdrawal after 7 calendar days of registration and payment

Any request for withdrawal and refund after 7 calendar days from the date of registration and payment shall follow ECC’s refund policy and procedures and shall be subject to ECC’s review and approval.

 

d) Non-Refundable Fees

Registration Fees, Exam Fees, Other Fees, administrative charges, books, printed materials, past paper booklets, subscriptions, bank charges, payment gateway fees, VAT amount, third-party fees, and any costs incurred by ECC on behalf of the Student are non-refundable.

 

Once any class, lesson, assessment, consultation, orientation, course access, examination registration, or other academic service has commenced, all refund requests shall be subject to Section Withdrawal and Refund Calculation, regardless of the number of days since registration.

 

Withdrawal and Refund Calculation

Any approved refund shall be calculated based on the full standard Course Fee and not on any discounted, promotional, scholarship, package, or reduced fee paid by the Student.

 

Upon withdrawal, cancellation, suspension, termination, expiry, or discontinuation of the course:

  • All discounts, scholarships, promotions, special offers, package rates, referral discounts, sibling discounts, corporate discounts, and fee reductions shall automatically become void.

  • The Student's account shall be recalculated using ECC's standard tuition rate of AED 350 per teaching hour plus applicable VAT.

  • Registration Fees, Exam Fees, Other Fees, books, printed materials, past paper booklets, subscriptions, administrative fees, third-party fees, bank charges, VAT amount, payment gateway charges, and any costs incurred by ECC on behalf of the Student are non-refundable.

  • The value of all classes attended, delivered, scheduled, reserved, or otherwise made available to the Student shall be deducted from any refund entitlement.

  • If the amount paid by the Student exceeds the recalculated value of tuition consumed and applicable charges, the remaining balance may be refunded.

  • If the recalculated value of tuition consumed and applicable charges exceeds the amount paid by the Student, the outstanding balance shall remain payable by the Student and shall become immediately due.

  • No refund shall be processed until all outstanding balances owed to ECC have been settled in full.

 

ECC reserves the right to recover any outstanding balance together with any applicable administrative, collection, legal, recovery, or banking costs incurred in collecting unpaid amounts, to the extent permitted by applicable law.

 

No Refund Circumstances

Refund shall not be granted under the following circumstances:

  • The Student has completed the course.

  • The Course Expiry Date has passed.

  • The Student has been suspended or dismissed due to misconduct.

  • The Student fails to attend scheduled classes.

  • The Student changes personal, academic, employment, travel, immigration, visa, or study plans.

  • The Student is dissatisfied with grades, examination results, teacher allocation, academic progress, or learning outcomes.

  • The Student withdraws after all purchased hours have been delivered or scheduled.


Refund Processing

Approved refunds will be processed within thirty (30) working days from the date of final approval by ECC.

 

Refunds shall only be made by cheque issued under the student name or parents or legal guardian.


FEES AND EXCLUSIONS


Non-Refundable Fees

  • The following fees are strictly non-refundable once paid:

  • Registration Fee

  • Books and printed materials

  • Past paper booklets

  • Digital resources

  • Administrative fees

  • Third-party fees (i.e. VAT amount)

  • Bank charges and payment-gateway charges

  • Any costs already incurred by the Center on behalf of the Student

PHOTOGRAPHY AND MARKETING CONSENT

The Student and/or Parent/Legal Guardian (where applicable) shall indicate their consent or non-consent for the use of photographs, videos, testimonials, project work, academic achievements, and participation in educational and training activities by completing the Photography and Media Consent section of this Agreement. Where consent is granted, ECC may use such materials for educational, administrative, promotional, marketing, website, social media, and advertising purposes. Where consent is not granted, ECC shall not use such materials for promotional or marketing purposes except where required by law or for internal administrative and academic records.
